ERIK 2023 Training Requirements

Each year, members of the Ohio State community are required to take several trainings to remain informed and in compliance with a wide range of university standards and initiatives. The following schedule of trainings should help you understand when these courses will be communicated, when they are due, and the time commitment required by each.

  •        Gramm-Leach-Bliley Act (GLBA) - Now to Apr 28

o   Purpose:  GLBA is a federal regulation that defines requirements for protecting customer privacy, including non-public, personal information such as a student’s statement of account. The training explains the role GLBA plays in Ohio State’s financial activities and introduces best practices for verifying customer identity and handling customer records.

o   Length: 20 minutes

o   Reminders:  Communication to be managed by Office of the University Bursar

  •        Report = Support - Now to Apr 28

o   Purpose: Informs employees about how to recognize sexual misconduct (including sexual assault or harassment, relationship violence and stalking), explains the impact of sexual misconduct and provides tools to address, disrupt and report inappropriate and harmful behavior.

o   Length: 30 minutes

o   Reminders: Communication to be managed by Human Resources Office

  •        Institutional Data Policy (IDP) – Now to Apr 28

o   Purpose: Outlines requirements for protecting institutional data in accordance with legal, regulatory, administrative, and contractual requirements; intellectual property and ethical considerations; strategic or proprietary value; and/or operational use.

o   Length: 30 minutes

o   Reminders: Communication to be managed by BuckeyeLearn

o   Note: All ERIK staff are encouraged to take IDP training regardless of role – this training provides a foundation for data security at Ohio State and is useful knowledge for all.

 

  •        Understanding and Interrupting Implicit Bias FY23 – Now to June 1

o   Purpose: Build awareness of our own implicit bias and provide tools to engage in more equitable practices and behaviors in the workplace.

o   Length: 30 minutes

o   Reminders: Communication to be managed by Human Resources Office

  •        Digital Accessibility Policy – May 1 through end of year

o   Purpose: Establishes minimum standards for the accessibility of Ohio State’s digital information and services, whether created by Ohio State or purchased for our use, as well as the reporting requirements necessary to ensure compliance with the university’s obligations under applicable state and federal laws and regulations.

o   Length: 9 minutes

o   Reminders: ORIS will manage communications and provide completion reports to managers.

  •        Digital Accessibility Skills Training – May 1 through end of year

o   Purpose: Introduces practices that can be incorporated into your daily routine to ensure that you are creating content that is accessible to as wide an audience as possible. This is required for anyone who creates content (including Word documents, emails, and Excel spreadsheets) at Ohio State.

o   Length: 4-5 hours for most employees. Staff in positions that create materials (communications, websites, etc.) for large audiences may have additional training assigned.

o   Reminders: ORIS will manage communications and provide completion reports to managers.

  •        Cybersecurity 4 You (C4U) Level 1 September 1 through end of year

o   Purpose: As advancements in personal technology and confusing consumer privacy policies muddy the digital landscape, C4U provides short lessons designed to tackle existing and emerging security and privacy concerns.

o   Length: 1 hour to reach level 1

o   Reminders: ORIS will manage communications and provide completion reports to managers.

o   Note: All ERIK staff are encouraged to complete level 1 or higher. (Level 1 required; level 2 and up recommended)

 

  •        Records Retention for ERIK – September 1 through end of year

o   Purpose: Learn about the schedule that governs the minimum retention and final disposition of records in compliance with policies of Ohio State and Ohio Revised Code.

o   Length: 15 minutes

o   Reminders: ORIS will manage communications and provide completion reports to managers.
